How to Switch from Spectora to InspectorData (Migration Guide)

A step-by-step guide to migrating your home inspection business from Spectora to InspectorData — without losing reports, clients, or agent relationships.

Switching home inspection software sounds scary. It doesn’t have to be. Here’s the exact playbook inspectors use to migrate from Spectora to InspectorData without losing a beat. For a side-by-side feature comparison, see InspectorData vs Spectora.

Before you start

Two things to have ready:

  1. Your Spectora account still active. Don’t cancel yet — you’ll run both in parallel for 2-4 weeks.
  2. Your most recent 10 reports exported as PDFs. Spectora’s export is under Settings → Reports → Export. You want these as a reference library.

The 4-week migration plan

Week 1: Parallel setup

Start the 90-day InspectorData free trial (no credit card required). Set up your business profile, logo, and default templates. Do your first inspection with InspectorData running alongside Spectora — take photos in both apps if needed, then compare the output.

Week 2: Template tuning

Edit InspectorData’s 119-section template to match your voice and remove sections you don’t use. Paste in any standard comments you had customized in Spectora. This is 2-3 hours of focused work and pays off for every future report.

Week 3: Workflow swap

Switch your default workflow to InspectorData. Use Spectora only as a fallback if something breaks. By mid-week, you should be doing full inspections end-to-end on InspectorData, delivering the reports to clients, and collecting payment through it.

Week 4: Cancel Spectora

Once you’ve shipped 5+ real reports on InspectorData and clients/agents are happy, cancel your Spectora subscription. Your 90-day InspectorData trial is still running — you won’t pay a dime for at least another 2 months.

What transfers over, what doesn’t

Transfers cleanly:

  • Logo, business info, contact details
  • Your report template structure (manually rebuilt in 2-3 hours)
  • Client records (manual CSV export from Spectora → import to InspectorData)
  • Agent referral tracking

Doesn’t transfer:

  • Historical reports (keep them as PDFs in Google Drive or Dropbox)
  • Spectora-specific custom fields
  • Any Spectora-owned web domains (you’ll redirect to new links manually)

Common questions

Will my clients know I switched? Only if you tell them. The web report link and PDF look similar enough that clients don’t notice — they just see a professional report.

What about my agents? Agents get a new agent portal link. Email them once with the new link and they’re set. Most agents welcome the change because InspectorData’s agent portal is faster.

Is there really no credit card for the trial? Yes. InspectorData is the only major home inspection software with a 90-day free trial that doesn’t require a credit card.

The math

A solo inspector on Spectora at $109/month saves $468/year by switching. A two-inspector firm paying $208/month saves $1,656/year. Calculate your exact savings with the ROI calculator. The migration takes 2-4 weeks of light overlap work — the time investment pays for itself in the first month.
